1. Who we are

Sree Vaagdevi High School is operated by Charusree Educational Society, a registered educational society (RC No: MDCL-UPL-015-0024) with its registered address at 4-98, Narsimha Nagar, Mallapur, Hyderabad, Telangana 500076.

Under India's Digital Personal Data Protection Act, 2023 (the "DPDP Act"), Charusree Educational Society is the Data Fiduciary responsible for the personal data described in this policy. Where this policy says "we", "us" or "the School", it refers to that society and the school it runs.

This policy covers this website, the enquiry forms on it, our website chat assistant, and the official WhatsApp, email and telephone numbers published on our Contact page. It does not cover other websites we link to, such as YouTube or Google Maps, which have their own privacy policies.

2. What we collect

We only collect what you actively type into a form or send to us in a message. We do not buy personal data from anyone, and we do not build profiles about visitors.

WhereWhat we collect
Admission enquiry form Student's name, date of birth, gender, class applied for, previous school, previous class and board; parent or guardian names, phone number, alternate phone number, email address and residential address.
Contact form Your name, phone number, email address, subject and the message you write.
Website chat assistant The name, phone number and enquiry you choose to enter.
WhatsApp, calls and email Your phone number or email address, the name shown on your account, and the contents of the messages you send us.
Automatically Standard web-server records such as IP address, browser type and pages visited, kept for security and troubleshooting.

Please do not send sensitive documents through this website. Our forms never ask for Aadhaar or other government ID numbers, bank or card details, caste certificates, or medical records. If a document is genuinely needed for admission, we will ask for it in person at the school office.

3. How it reaches us

This website has no student database and no public login. When you submit a form, the details are delivered directly to the School's official email inbox at contact@sreevaagdevihighschool.com and are read by authorised school staff. Form submissions are not saved into a database on the website itself.

4. Why we use it

  • To reply to your admission enquiry, question or request.
  • To carry out the admission process and keep you informed about its progress.
  • To send school communications you have asked for — admission updates, notices, events, examination and result information.
  • To maintain school records and meet obligations under applicable education, tax and other laws.
  • To keep the website secure and working correctly.

We do not use your personal data for advertising, for profiling, or for any automated decision-making, and we never sell or rent it.

5. Consent and your choices

When you fill in a form, message us on WhatsApp, or call us, you are giving consent for us to use those details to respond to you and to deal with your enquiry, as described above.

You may withdraw your consent at any time by contacting us using the details in section 15. Withdrawing consent does not affect anything we lawfully did before you withdrew it, and we may still need to keep certain records where the law requires it. If you withdraw consent while an admission enquiry is in progress, we may not be able to continue processing that enquiry.

We may also process personal data for the "legitimate uses" permitted by the DPDP Act — for example, to comply with a legal obligation or an order of a court or authority.

6. Children's data

We are a school, so we necessarily handle information about children. We treat it with particular care.

  • Our enquiry forms are intended to be filled in by a parent or legal guardian, not by a child.
  • Where we process the personal data of a child (a person under 18) or of a person with a disability who has a lawful guardian, we do so on the basis of verifiable consent from the parent or lawful guardian, as required by the DPDP Act.
  • We do not carry out tracking, behavioural monitoring or targeted advertising directed at children. This website runs no advertising or analytics trackers at all.
  • We do not publish a student's photograph, name or achievement on this website or on our social media without the consent of the parent or guardian. If you would like a photograph of your child removed, tell us and we will take it down.

7. WhatsApp messaging

We use WhatsApp to answer enquiries and to send school updates to parents and guardians who have asked to receive them.

  • We message you on WhatsApp when you have contacted us there, or when you have given us your number and agreed to receive school updates — for example, on an admission enquiry form or at the school office.
  • Messages we send are about the school: admission and enquiry responses, fee and examination notices, events, holidays, results and similar school information. We do not send third-party marketing, and we do not share or sell your number to any marketer.
  • To stop receiving messages, reply STOP to our WhatsApp number, or tell us by phone, email or in person. We will remove you from school messaging promptly. You can opt back in at any time.
  • Messages sent over WhatsApp are also processed by WhatsApp and its parent company, Meta, in order to deliver them. Their handling of your data is governed by the WhatsApp Privacy Policy, which you can read in the WhatsApp application.

Our official WhatsApp number is +91-9030133343. Please treat messages from any other number claiming to be the School with caution.

8. Who we share it with

We do not sell, rent or trade personal data. We share it only in these limited situations:

  • Service providers who host our website and operate our email, strictly so that they can provide those services to us.
  • WhatsApp / Meta, to the extent needed to deliver messages you exchange with us, as described in section 7.
  • Embedded third-party content. Some pages include a Google Maps location, YouTube videos, Google Fonts and an icon library served by Cloudflare. When such a page loads, those providers may receive your IP address and basic device information under their own privacy policies.
  • Authorities, where we are required to disclose information by law, by a court, or to protect the safety of a student or staff member.

9. Cookies and tracking

This website uses no advertising cookies and no analytics trackers. There is no Meta Pixel, no Google Analytics and no third-party advertising network on this site.

  • A standard session cookie is used only in the password-protected staff area, to keep staff signed in.
  • Our website chat assistant stores a single value in your browser's own session storage so that it does not reopen repeatedly during the same visit. It is cleared when you close the tab and is never sent to us.

10. How long we keep it

We keep personal data only as long as it is needed for the purpose it was given for.

  • Enquiry and contact messages are kept through the relevant admission cycle so that we can follow up, and are then deleted, unless the student joins the School or the law requires us to keep them.
  • Records of enrolled students are kept for as long as the student is with us and afterwards for the period required by education and other applicable regulations.
  • Web-server security records are kept for a short period and then overwritten.

You can ask us to erase your personal data earlier — see section 12.

11. How we protect it

We take reasonable security safeguards to protect personal data, including serving this website over an encrypted HTTPS connection, restricting the staff area behind a password, limiting access to enquiry emails to authorised staff, and not storing form submissions in a database on the website. No method of transmission or storage can be guaranteed to be completely secure, but we take these protections seriously and review them.

If a personal data breach occurs, we will notify the affected individuals and the Data Protection Board of India as required by the DPDP Act.

12. Your rights

Under the DPDP Act, you (the "Data Principal") have the right to:

  • Access a summary of the personal data we hold about you and how we process it.
  • Correct, complete or update personal data that is inaccurate or out of date.
  • Erase personal data that is no longer needed for the purpose it was collected for, unless we must keep it by law.
  • Withdraw consent at any time, as described in section 5.
  • Nominate another person to exercise these rights on your behalf in the event of your death or incapacity.
  • Raise a grievance with us, as described in section 13.

To exercise any of these rights, contact us using the details in section 15. We may need to verify your identity — and, for a request about a child, your relationship to the child — before we act. We will respond within a reasonable period.

The DPDP Act also asks Data Principals to give authentic information and not to raise false or frivolous complaints.

13. Grievance redressal

If you are not satisfied with our response, you may make a complaint to the Data Protection Board of India established under the DPDP Act.

14. Changes to this policy

We may update this policy as our practices or the law change. The revised version will be published on this page with a new "last updated" date at the top. Where a change is significant, we will make a reasonable effort to tell you directly.
